Travel Agency Terms and Conditions (Key Provisions)

Reference translation. This page summarizes the key provisions of our Travel Agency Terms and Conditions (based on the Standard Travel Agency Terms). The complete and binding terms are provided in Japanese, which is the authoritative version; in the event of any discrepancy, the Japanese version prevails.

Full text (authoritative): Travel Agency Terms (Japanese)

1. About these Terms

These Terms apply to Agent-Organized Tours and Customer-Organized (bespoke) Tours arranged by Alternative Port Co., Ltd. (the “Company”), as well as to arranged travel and related services. Your relationship with the Company is governed by these Terms, the conditions shown on each plan page, and the travel documents we provide.

2. Registration and Travel Services Manager

The Company is a Shimane Prefectural Governor-registered travel agency (Region No. 122, region-limited travel agency). The Travel Services Manager is the person responsible for transactions at the office handling your travel; please direct any questions to the manager.

3. Formation of the contract

Bookings are request-based. Your application alone does not conclude a contract. The travel contract is concluded when the Company accepts your application and payment is settled. If the Company does not accept your application, no contract is formed and no charge is made. The Company may decline an application in certain cases, such as where there is no availability or the trip cannot be arranged as requested.

4. Contract documents

After the contract is concluded, the Company provides the contract document and, where applicable, a final document confirming the itinerary details, by electronic means such as on this website or by email.

5. Changes to the contract

If changes to transportation or accommodation arrangements or other unavoidable circumstances occur, the Company may change the contents of the tour after explaining the reason to you. The travel price may be changed only in the limited cases prescribed by the Terms, for example a significant change in applicable fares or charges.

6. Cancellation by the traveler and cancellation fees

You may cancel the travel contract at any time. If you cancel for your own convenience, cancellation fees apply based on the travel start date (check-in date):

  • Up to 21 days before: free
  • 20 to 8 days before: 20% of the travel price
  • 7 days to 2 days before: 30%
  • The day before: 40%
  • On the day, before the trip starts: 50%
  • After the trip starts, or a no-show without notice: 100%

These rates correspond to Appendix 1 of the Terms. Please also see the Notation based on the Act on Specified Commercial Transactions and the Travel Conditions.

7. Cancellation by the Company

Before the trip starts, the Company may cancel the contract in the cases set out in the Terms — for example where the trip cannot be carried out due to reasons beyond control, such as natural disaster, severe weather, or suspension of transport services. After the trip starts, the Company may terminate part of the services where you are unable to continue due to illness or other reasons, or where you breach the Terms.

8. Refunds

Refunds return the full confirmed amount paid less the applicable cancellation fee. Apart from the cancellation fee, we do not deduct any amount equivalent to payment processing fees, cancellation handling fees or similar charges. If the trip is cancelled for reasons not attributable to you, such as ferry suspension or severe weather, no cancellation fee is charged and the full amount is refunded.

9. Company’s liability, special compensation, and itinerary guarantee

The Company compensates for damage caused to you through the fault of the Company or its arrangement agents, within the scope and limits prescribed by the Terms, provided that notice is given within a set period. Under the Special Compensation Regulations, the Company pays fixed compensation and consolation money for certain injury or death sustained during participation in an Agent-Organized Tour, regardless of fault. Under the itinerary guarantee, if the contracted contents change in ways specified by the Terms, the Company pays change compensation calculated as prescribed. For the exact scope and amounts, please refer to the full Japanese text.

10. Traveler’s responsibility

If the Company incurs damage due to your intentional act, negligence, or breach of these Terms, you are responsible for compensating that damage. During the trip, please observe local laws and the instructions of the Company and its staff, and act with due care.

11. Personal information and inquiries

Personal information is handled in accordance with our Privacy Policy. For questions about the travel contract, please contact us via the contact form or the details shown in our Company Information.
