This document forms part of the explanatory document of transaction conditions under Article 12-4 of the Travel Agency Act and of the contract document under Article 12-5. Matters not stated here are governed by our Travel Agency Terms (Part on Agent-Organized Tour Contracts).
1. Agent-Organized Tour Contract
The basic packages offered on OkiWork are Agent-Organized Tours, for which the Company determines the contents in advance and offers them. You conclude an Agent-Organized Tour contract with the Company.
2. Application and time of contract formation
- Apply by entering the required details on this site.
- Bookings are request-based; the contract is not formed at the time of application.
- We notify you whether it is approved within two business days.
- The contract is formed when the Company approves it and payment of the travel price is completed.
- If we cannot approve, no payment arises.
3. Payment of the travel price
- Payment is by credit card.
- After the Company approves your booking, payment is taken automatically from your saved card 21 days before check-in. If the Company approves your booking when check-in is less than 21 days away, payment is taken shortly after approval.
- Displayed travel prices include consumption tax.
4. Minimum number of participants
One person. We do not cancel a trip for insufficient numbers.
5. Tour conductor
No tour conductor accompanies you. You yourself carry out the check-in procedures for the accommodation, telework office and rental car. Before the trip starts, we send you an itinerary and instructions for each facility.
6. Included in the travel price
- Accommodation charges for the booked property
- Telework office usage fee
- Rental car (for the selected number and period, if selected)
- The Company’s prescribed fee
- Consumption tax on the above
7. Not included in the travel price
- Round-trip transportation from your home to the site (ferry, aircraft, etc.)
- Meals (except where explicitly included in the accommodation plan)
- Optional activity participation fees (paid locally)
- Accommodation tax, tourism tax, etc. (charged separately where applicable)
- Fuel for the rental car, and services beyond what you booked such as extending the return time or a late check-out, and additional options (paid directly to the accommodation or rental car company on site, at their rates)
- Expenses of a personal nature (souvenirs, communications, additional food and drink, etc.)
8. Cancellation fees
If you cancel the travel contract for your own convenience, the following cancellation fees apply, based on the travel start date (check-in date).
| Timing of cancellation | Cancellation fee |
|---|---|
| Up to 21 days before the start date | Free |
| 20 to 8 days before | 20% of the travel price |
| 7 days to 2 days before | 30% of the travel price |
| The day before | 40% of the travel price |
| On the day (before the trip starts) | 50% of the travel price |
| After the trip starts, or a no-show without notice | 100% of the travel price |
- These rates are set within the upper limits prescribed in Appendix 1 of the Travel Agency Terms.
- No cancellation handling fee is charged in addition to the cancellation fee.
- Refunds return the full confirmed amount paid less the applicable cancellation fee. Apart from the cancellation fee, we do not deduct any amount equivalent to payment processing fees, cancellation handling fees or similar charges.
- If the trip is cancelled for reasons beyond your control, such as ferry suspension or severe weather, no cancellation fee is charged and the full amount is refunded.
9. Changes to booking contents
- Changes after booking (dates, number of people, number of rooms, number of rental cars) can be requested from My Account; changes also require the Company’s approval.
- If the travel price increases, you pay the difference; if it decreases, we refund the difference.
- Reducing changes are accepted only during the fee-free period (up to 21 days before), to prevent avoidance of cancellation fees by a last-minute reduction. Increasing changes are accepted even after 21 days before.
10. Company’s right to cancel
The Company may cancel the travel contract in the cases prescribed by the Travel Agency Terms (Part on Agent-Organized Tour Contracts, Chapter 4). If payment of the travel price cannot be confirmed, we may cancel the contract after notifying you in advance.
11. Special compensation
If a traveler suffers bodily injury due to a sudden and accidental external accident while participating in a planned tour, the Company pays the following compensation and consolation money under the Special Compensation Regulations attached to the Travel Agency Terms, regardless of the Company’s liability:
- Death compensation: 15 million yen per person (domestic travel)
- Residual-disability compensation: the amount calculated by the rate in the appendix to the Special Compensation Regulations
- Hospitalization consolation money: 20,000–200,000 yen (by number of days)
- Outpatient consolation money: 10,000–50,000 yen (by number of days)
- Personal-effects damage compensation: up to 150,000 yen per person per trip (up to 100,000 yen per item or pair)
For cases not covered and for claim procedures, please see the Special Compensation Regulations in the Travel Agency Terms.
12. Itinerary guarantee
If a significant change listed in the left column of Appendix 2 of the Travel Agency Terms occurs to the contents stated in the contract document, the Company pays change compensation equal to the travel price multiplied by the rate in the right column of that table.
13. Company’s liability
In performing the travel contract, if the Company or a party to which it entrusted arrangements causes damage to a traveler intentionally or negligently, the Company compensates for that damage, provided notice is given within two years from the day after the damage occurs. For damage to baggage, a notice period and compensation limit apply (for domestic travel, notice within 14 days, up to 150,000 yen per person).
14. Handling of personal information
The Company handles the personal information you provide when applying in accordance with our Privacy Policy. We may provide your name, contact details, etc. to accommodation providers, rental-car operators, activity providers and others, to the extent necessary to arrange and provide travel services.
